Email client software organises messages into several standard folders that reflect the different stages of an email's life cycle.

The Outbox is a temporary, transitional folder. When a user composes a message and clicks send, the email does not travel to the recipient instantaneously — instead, it is first placed in the Outbox, where it is queued while the mail client establishes a connection with the outgoing mail server and transmits the message. This is especially noticeable when a device is offline or has a slow or interrupted internet connection: the message remains visibly held in the Outbox until connectivity is restored and the send completes.

Once the mail server confirms successful transmission, the client automatically moves the message out of the Outbox and into the Sent folder, which serves as a permanent record of messages that have actually left the user's account.

It is useful to distinguish the Outbox from the other mail folders: the Inbox is where newly arrived incoming messages are received and stored; the Drafts folder holds messages that are still being composed and have not yet been sent, allowing the user to save and return to them later; and the Sent folder, as noted, stores copies of messages already delivered to the outgoing server. The Outbox is unique among these in being a short-lived, in-transit holding area rather than a permanent store — under normal, well-connected conditions, a message may pass through it so quickly that it is barely noticed.
